Attachments

You can attach any type of file to a document in Enterprise Buyer 2.0 Desktop Edition.  The files can be in any format and can contain any additional or required information, required certifications, regulatory or licensing information.

Attachments may also viewed when a Shopping Cart, Order or Change Request is printed.


Item Attachment

  1. Find the row containing the item for which you want to attach a note.

  2. Click in that row.

    Enterprise Buyer 2.0 Desktop Edition displays the Item Details page.

  3. Click the Item Attachment tab.

    Enterprise Buyer 2.0 Desktop Edition
    displays the Item Attachments list containing a list of the files attached to that item.

  1. Click:

a. [New] to add a new attachment. he browser displays the Item Attachments page.
b. , beside an attachment, to change it. The browser displays the Item Attachments page with the attachment File Name and Purpose displayed.
c. , to delete the attachment.
  1.  Click:

    [Save] to add the attachment

    [Cancel] to exit without attaching a file

Shopping Cart Attachment

  1. Click attachments, above the row of buttons, on any list page.

    The browser displays
    the Shopping Cart Attachments list containing a list of the files attached to that Shopping Cart.
  2.  Click:
a. [New] to add a new attachment. The browser displays the Item Attachments page.
b. , beside an attachment, to change it. The browser displays the Item Attachmennts page with the attachment File Name and Purpose displayed.
c. , to delete the attachment.
  1.  Click:

    [Save] to add the attachment

    [Cancel] to exit without attaching a file

Attachments Page

You can an edit attachments to items, Shopping Carts and Orders in the same way:

  1. Select an attachment file name, by:

a. In the File Name text box, type the pathname to the file to be attached, or
b. Click [Browse], and use the file system to search for and select a file.
  1. In the Type your purpose here text box, type an explanation of why the file is being attached.

    This is required. You must enter a purpose before leaving this page.l

  2. Click in the Send to Supplier check box if you want the attachment to go the supplier.

    Otherwise the attachment will only be seen by you and your Approver.

  3. Click:

    [Save] to add the attachment

    [Cancel] to exit without attaching a file

    The system returns you to the Attachments list.


Modifying Attachments

Click   to edit the pathname to the attached file, or the text in the attachment Purpose. Attached files themselves cannot be modified inside Enterprise Buyer 2.0 Desktop Edition.

If you want to edit an attached file, it must be edited externally and then re-attached. When this happens, the original file is deleted or detached, depending upon whether it is attached to any other Shopping Cart, Order, or item. 

When a Shopping Cart is submitted, the attachments are associated with the corresponding line item in the Order. there is, however, only one physical copy of the attached file. When a Shopping Cart is copied, the system also  copies and attaches any associated attachments. 

When a Shopping Cart, Order, or item is deleted, the system also deletes the associated files.


Naming Attachments

Attachments must have unique names. When preparing a file to be attached to a Shopping Cart, save the file with a name using only lower case letters, numbers, the underscore character (_) or hyphen (-).

Do not use include any spaces between characters in file names. Do not use other special characters, such as the hash mark (#). 

This ensures maximum compatibility across the most commonly used browser versions.


Attachment Size

The size of the attachment that can be uploaded from the client to the server is limited by the disk space available on the data server. The maximum size of the attachment that can, be uploaded can set to a lower value by your Administrator using the Enterprise Buyer 2.0 Desktop Edition Administration application.

If the size of the attachment is larger than the limit established by the Enterprise Buyer 2.0 Desktop Edition system administrator, the system displays  an error message. You can attach a different version of the file, or modify the file and reattach it.
